Reconstructionist Rabbinical College seeks a part-time (30 hours/week), experienced Administrative Assistant to support our Recruitment & Admissions initiatives as well as more generalized Academic Affairs work. Reporting to the Director of Recruitment & Admissions and our Vice President for Academic Affairs, this outward-facing position provides accurate and reliable administrative support with tact, professionalism and warmth. The assistant facilitates calendaring, communications, record keeping, logistical/event support, meeting minutes and other needs as they arise. The ideal candidate is articulate, personable, able to accurately track details and moving parts, is flexible amidst a diverse array of responsibilities, and able to serve as a personable liaison to prospective and current students in our graduate and rabbinical programs.

This role provides entry into our wonderful organization and includes meaningful interaction with our community of students, faculty, and staff. It also provides opportunity for immersion in a dynamic, collegial, academic setting amongst a Jewish community which values inclusion and social justice.

This role requires onsite presence at our Wyncote, PA campus three days per week: Tuesday-Thursday. There may be opportunity to fulfill some weekly hours remotely on other days or to swap in-person days based on need.

 

Primary Responsibilities

  • Scheduling, maintaining, and adjusting calendars of meetings, events, interviews, and travel accurately and with careful attention to detail; facilitating conference calls, placement exams, visits, events, and travel logistics; acting as point person for these items in collaboration with leadership.
  • Receiving, directing and responding to requests by email and phone.
  • Serving as a primary welcoming presence for visitors and guests for the academic program.
  • Database entry, queries and report generation; Information and file organization
  • Creating, preparing and distributing schedules, packets & flyers.
  • Monitoring inventory of promotional materials and supplies.
  • Taking minutes at internal meetings as needed.
  • Processing expense reimbursement and credit card reconciliation.
  • Problem solving and troubleshooting myriad issues.

Qualifications

  • At least two years administrative assistant or related experience.
  • Experience facilitating multiple, concurrent projects and working under deadlines.
  • Microsoft Office experience: proficient in Outlook (both calendar and email), moderate Excel, Word and mail merge experience (candidates will be required to pass appropriate skills tests).
  • Experience editing and proofreading including working with spreadsheets and PDF documents.
  • Ease with scheduling and conferencing platforms such as Doodle & Zoom.
  • Familiarity working with CRM/Student databases (Populi or similar).
  • Knowledge of the Reconstructionist Jewish community helpful.

  • Ability to lift up to 30 pounds, bend, crouch, lift, reach, climb stairs and a stepladder.

Salary: $22-23 per hour, commensurate with experience.

 

Benefits: This is a part-time, 30 hour per week, non-exempt position with benefits that include health insurance, 401(k), paid vacation and sick time, and time off for major Jewish and American holidays. We offer a dynamic and progressive workplace. This position is potentially eligible for a hybrid work arrangement as indicated above.
